A salary scale turns compensation decisions into a consistent system. Instead of negotiating every salary from scratch, an employer defines job grades, a minimum, midpoint and maximum for each grade, and the allowances or benefits that apply.

Six steps to build pay bands

  1. Clean the job list. Standardize titles and remove duplicate designations.
  2. Evaluate roles. Compare scope, decision-making, required skills and people responsibility—not employee names.
  3. Create grades. Put roles of comparable value into the same grade.
  4. Benchmark carefully. Use current, relevant data for location, industry and company size. Record the source and date.
  5. Set range widths. Junior grades normally need narrower ranges than specialist or leadership grades.
  6. Test affordability. Model payroll cost, festival bonus, overtime, PF, gratuity and annual increments before approval.

How to place existing employees

Calculate each employee’s range position: current base salary minus grade minimum, divided by grade maximum minus grade minimum. A result below zero flags an employee below the band; above one flags pay above the band. Review performance, scarce skills, tenure and internal equity before changing pay.
